Position Overview

Key Duties and Responsibilities
The Office Assistant will carry out a wide range of administrative and clerical duties, including:

  • Managing incoming and outgoing communications, scheduling meetings, and assisting with visitor arrangements.
  • Maintaining accurate digital and physical filing systems to ensure easy access to records and documentation.
  • Supporting travel planning and logistical arrangements for staff members and visiting consultants.
  • Assisting in the organization of meetings, workshops, and conferences, including logistical coordination and preparation of supporting documents.
  • Monitoring office supplies, coordinating basic procurement requests, and ensuring office resources are adequately maintained.
  • Supporting administrative processes related to finance, travel requests, and human resources documentation.
  • Performing additional administrative tasks as required to support team members and maintain efficient office operations.

The role requires professionalism, discretion, and the ability to manage multiple priorities in a fast-paced work environment. Strong teamwork and time-management skills are essential for success.

Required Qualifications and Experience
Candidates should meet the following requirements:

  • Completion of secondary school education or an equivalent qualification.
  • A minimum of two years of relevant administrative or office experience, preferably within an international or multicultural setting.
  • Strong organizational and communication skills, with the ability to work both independently and collaboratively.
  • Proficiency in standard office software and digital tools used for document preparation, scheduling, and record management.
  • Working knowledge of English is required; knowledge of additional UN languages, particularly French, is an advantage.

Previous experience within a United Nations agency or an international organization is considered an asset but is not mandatory.
