Key Duties and Responsibilities

The Office Assistant will support the daily administrative and operational needs of the division. Key responsibilities include:

  • Preparing routine correspondence, reports, tables, and presentations
  • Managing incoming communications, scheduling meetings, and welcoming visitors
  • Maintaining digital and physical filing systems and administrative records
  • Supporting travel arrangements, logistics, and accommodation planning
  • Assisting with the organization of meetings, workshops, and conferences
  • Monitoring office supplies and coordinating basic procurement needs
  • Supporting administrative processes related to finance, travel, and human resources
  • Performing additional clerical and administrative duties as required

The role requires attention to detail, reliability, and the ability to manage multiple tasks while meeting deadlines.


Required Qualifications and Experience

Education

  • Completion of secondary school education or equivalent qualification

Experience

  • At least two years of relevant office or administrative experience
  • Experience in an international or multicultural organization is an advantage

Skills and Competencies

  • Strong organizational and communication skills
  • Proficiency in common office software and digital tools
  • Ability to work effectively in a team and independently
  • High level of professionalism, discretion, and reliability

Languages

  • Working knowledge of English is required
  • Knowledge of French is desirable
  • Additional UN languages are considered an asset
